RUKN ERP Privacy Policy

This Privacy Policy describes how RUKN Software LLC ("RUKN Software", "we", "us", or "our"), an Omani company, collects, uses, processes, and protects the personal data of individuals who use our RUKN ERP software and related services (collectively, "Services"). We are committed to protecting your privacy and handling your personal data in a transparent and secure manner, in compliance with the Sultanate of Oman's Personal Data Protection Law (Royal Decree 6/2022, hereinafter "Oman PDPL") and other applicable data protection regulations in the Middle East and North Africa (MENA) region.

By using our Services, you agree to the collection and use of information in accordance with this policy.

2. Data Controller

RUKN Software LLC, located in Oman, is the data controller responsible for the processing of your personal data under this Privacy Policy.

3. Principles of Data Processing

We adhere to the following principles when processing personal data, in line with the Oman PDPL [1]:

  •   Lawfulness, Fairness, and Transparency: Personal data is processed lawfully, fairly, and in a transparent manner.
  •   Purpose Limitation: Data is collected for specified, explicit, and legitimate purposes and not further processed in a manner that is incompatible with those purposes.
  •   Data Minimization: Data collected is adequate, relevant, and limited to what is necessary in relation to the purposes for which it is processed.
  •   Accuracy: Personal data is accurate and, where necessary, kept up to date.
  •   Storage Limitation: Data is kept in a form that permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed.
  •   Integrity and Confidentiality: Data is processed in a manner that ensures appropriate security of the personal data, including protection against unauthorized or unlawful processing and against accidental loss, destruction, or damage, using appropriate technical or organizational measures.

4. Types of Personal Data Collected

We collect various types of personal data to provide and improve our Services. The specific data collected depends on how you interact with RUKN ERP and the modules you utilize. This may include:

  •   Identification Data: Name, job title, company name, email address, phone number, postal address.
  •   Financial Data: Bank account details, payment information, billing address (for subscription and service payments).
  •   Operational Data: Data related to your business operations processed within the ERP system, which may include personal data of your employees, customers, or suppliers (e.g., employee names, contact details, payroll information, customer purchase history, supplier contact information). As a data processor for this type of data, we process it strictly according to your instructions and our data processing agreements.
  •   Technical Data: IP address, login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access our Services.
  •   Usage Data: Information about how you use our website and Services.
  •   Marketing and Communications Data: Your preferences in receiving marketing from us and your communication preferences.

We do not intentionally collect sensitive personal data (such as genetic data, biometric data, health data, racial origin, or sexual life) unless explicitly required for the provision of a specific service module and with your explicit consent, or as permitted by law [2].

5. How We Collect Your Personal Data

We use different methods to collect data from and about you, including:

  •   Direct Interactions: You may give us your identity, contact, and financial data by filling in forms or by corresponding with us by post, phone, email, or otherwise. This includes personal data you provide when you:
    •   Apply for our products or services.

As an Omani company serving the MENA region, your personal data will primarily be processed and stored within Oman or other countries in the MENA region. However, some of our third-party service providers may operate outside of these regions. In such cases, we will ensure that any international transfer of personal data is carried out in accordance with the Oman PDPL and other applicable data protection laws, ensuring adequate safeguards are in place to protect your data [1]. This may include relying on standard contractual clauses, your explicit consent, or other legal mechanisms.

We have implemented appropriate technical and organizational security measures designed to protect your personal data from accidental loss, unauthorized access, use, alteration, or disclosure. However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal data, we cannot guarantee its absolute security.

  •   Right to Erasure (Right to be Forgotten): You have the right to request the deletion or removal of your personal data where there is no compelling reason for its continued processing.
  •   Right to Restriction of Processing: You have the right to request that we restrict the processing of your personal data under certain conditions.
  •   Right to Object to Processing: You have the right to object to our processing of your personal data, particularly where we are relying on legitimate interests as the legal basis for processing.
  •   Right to Data Portability: You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.
  •   Right to Withdraw Consent: Where we are relying on consent to process your personal data, you have the right to withdraw that consent at any time. This will not affect the lawfulness of any processing carried out before you withdraw your consent.
